The order of determining an hourly rate on a project

MJA Updated by MJA

You can enter a purchasing and/or sales hourly rate in various places in Newbase.

If time is added to a project, Newbase will use the following order to determine the hourly rate:

1. Project-linked employee with a specific hourly rate

If a specific hourly rate applies to an employee on a customer project, you can link this employee to the project and enter an hourly rate (purchasing and sales) via the 'Employee hourly rate' widget.

If the employee in question writes time on the project, this rate will be adopted.

2. General project hourly rate (sales)

If a general project hourly rate applies, you can enter this in the Project Rates widget within the project.

If no employee is linked to an hourly rate as described in 1, when writing time, it will be checked whether there is a project rate that will then be adopted.

3. Hour type with a sales price

If 1 & 2 do not apply, we will check whether there is a rate for the chosen 'hour type' at company level*.

You can link a purchasing and sales price to an hour type within the Company module > Company hour type widget.

4. Hourly rate on the user card

If 1, 2 & 3 do not apply, we will check whether there is a rate in the user card. You can set a rate on the user card within the Users Newbase > Widget Time / Cost Settings module.

If nothing is found, the rate will remain empty when writing time

*it is possible to link a rate to an hourly category. You can also link a product to an hourly category. With the latter, the product is shown on the invoice when the time line is duplicated to the invoice. The general ledger number of the product is also used.

If there are already existing time rules, they will not be overwritten again.
