Setting up 2 factor authentication

1. General

This help file is intended only for the application administrators of Newbase.

It is possible to log in to Newbase using two-factor authentication. There are two options for this:

  1. Logging in after receiving a code via email
  2. Logging in after entering a code obtained via an Authenticator app

2. Setting up 2-factor

The above choice is configured under the module Owner and can be changed per user.

  1. Go to the Owner module > Two-factor authentication widget.

  1. In the field 'Owner Two Factor Authentication', choose either email or authenticator app.
  2. A user will receive a one-time code to activate 2FA. Enter the duration of validity for this code in the 'Number of minutes valid' field
It's important to consider the timeframe within which you'll send the one-time code to the user(s) and whether these user(s) will be able to log in to Newbase again within that time.

3. User Settings

3.1 Downloading the app

If 2FA via an authenticator app is chosen, the user needs to install the Google or Microsoft Authenticator app on their mobile phone or tablet before logging in to Newbase. No Google account is needed to work with the Google Authenticator. These apps can be found in the app store.

The user will need to perform Google or Microsoft Authentication themselves. Before the user can do this, they will receive a one-time code from the application administrator, which must be used to log in to Newbase before performing the authentication. The application administrator must manually send this one-time code to each user.

3.2 Sending one-time code per user

Before the user can use the authenticator app for logging in, a one-time code must be sent per user, which the user must use to log in once. After logging in with this code, the user must activate the authentication themselves.

  1. Go to the Users Newbase module > select the relevant user
  2. Go to the Two Factor Authentication widget and check if the fields are set to Authenticator app or manually enable them. Enter the email address to which the one-time code should be emailed
  1. Click on the email icon, and the following pop-up will now appear:
  1. If you click on OK the following pop-up will appear

You can provide the one-time code shown in this pop-up to the user or email it to the user by entering the user's email address in the pop-up. Note that this code is valid for a limited time, so the user cannot log in indefinitely after receiving the code.

4. First-time login by the user

The user will receive the following email with a one-time passcode.

If the user fails to start Newbase within the set minutes, a new code can simply be generated in the same manner.

  • The user needs to (re)start Newbase.
  • The user will first encounter the normal login screen and fill in all login details, then a pop-up will appear where the received code needs to be entered.
  • After logging in, the user must activate the Authenticator app themselves. Only after that, every subsequent time the user logs into Newbase, the code from the app will be needed.
