Check and allow double (duplicate) product codes / part numbers

Before starting to create products, it must be decided whether it should be possible to have double product codes in Newbase. There are a number of situations that need to be considered:

  • Is there one company or are there multiple companies where products are shared; it is desirable that the product code is unique across all products
  • There are several companies where products are not shared; The product codes must be unique per company, but the same code may appear in different companies, namely once per company.
  • If products have already been created before you have chosen that duplicate product codes should not occur, there is a standard search action where duplicate product codes are searched.

​1. Search for duplicate product codes​

Within the start screen of the product module there is a standard search 'Duplicate active part numbers. If this has not been distributed, the internal application manager can do this.

​2. Set 'check for double'​

You can set up the check for duplicate product codes within the 'Owner detail' widget of the Owner module.

This setting works as follows:

  • If checked within a Newbase account where multiple companies exist with 'product sharing' enabled, a product code may only appear once for all companies
  • If checked within a Newbase account where multiple companies exist and 'product sharing' is disabled, a product code may only appear once per company, but the same codes may appear multiple times in different companies.
  • If not checked, the situation remains unchanged (no duplicate check)
