Send invoice to department > create department as contact

In many cases, a sales invoice will not have to be sent to a 'contact' but to a 'department'.

This means that this department will have to be created in Newbase as a 'contact'. This is further explained below.

Create department as contact

  1. Go to the contact module and choose New or go to the relevant organization and create a new contact via the 'Active contact' widget.
  2. Enter the name of the department in the Person or Department box.
  3. Put the name of the department is the First name field and set the Gender field to unknown.
  4. Enter the email address of the department in the Email address field of the Contact box
  5. ​Click on create.
  6. Now go to the Address label settings widget and enter 'Attn. finance department and check the boxes at Department on label for mailing and billing address

Now that the department has been created as a contact, this contact can be linked to the debtor.

With this action, the department will automatically be linked to every invoice of that debtor. If an invoice is always sent to a different contact, you do not have to perform the following action.

  1. Go to the relevant debtor and on the widget 'Debtor information'.
  2. Enter the department/contact in the field 'email payment reminders to' and then tick the box 'And then the same for the invoice'
  3. Then go to the Extra Label Settings widget and check the box for 'Use invoice address relation'

Now the department will be shown on the label.
