Where can you find ledger numbers and what order of ledger numbers is used?

MJA Updated by MJA

General ledger numbers are located in different places in Newbase. Which general ledger number is taken to Twinfield is determined by the following order:

1. Order if multi-company is not used OR multi-company is used but products are not shared.

1. Newbase first checks whether a general ledger number has been entered on the product in question.

If multi-company is not used, general ledger accounts can be entered for each desired trading region.

If multi-company is used, you can create a line per company and do not set it to standard/default so uncheck standard box.

2. If no general ledger numbers have been entered at product level, Newbase will check whether general ledger numbers have been entered at product group level.

3. If no general ledger numbers have been entered at product level and also not at product group level, Newbase will fall back on the 'company settings'. These are called the 'fall back' general ledger numbers.

2. Order if working with multiple companies AND products are shared:

1. If a product ledger line has been entered on a product for the correct company with the correct trading region, it will be used

2. If a product ledger line has been entered on a product with the checkbox ON by default for another company with the correct trading region, it will be used.

3. If a product group ledger line has been entered on a product group for the correct company with the correct trading region, it will be used

4. If a product group ledger line has been entered on a product group with the checkbox ON by default for another company with the correct trading region, it will be used.
