Work with hour types and cost types

Within Newbase you have the option to work with hour types and cost types regarding time writing.

1. What is an hour type

An hour type is a specification of a time record and can be used to gain more insight into how time is spent.

This includes: holidays, doctor visits, lead generation, project administration, training, telephone support, etc. Hour types can be created manually (by the application manager). With hour types you look at numbers and with cost types you look at amounts.

2. What is a cost type

A cost type is a financial breakdown at project level. For example, third party purchasing, time, etc.

In many cases, a combination of cost and hour types is used.

4. How do you create an hour type or a cost type?

You create an hour type and a cost type via the module selection lists. Click here for more information.

For each hour type, you can use i1, i2, i3, etc. to indicate whether the hour type applies to a project, general, etc. These codes are explained within the selection list screen.

5. Linking an hour type to a user

It is possible to link an hour type to a user. If the user in question writes time in Newbase, the entered hour type will be adopted by default.

Please note: the hour type field is a drop-down list from which the user can make a choice during time recording.

Several forms of hour types can be set on the user card:

It is possible to make an hour type a mandatory field so that users cannot forget this when writing time. This can be set by the internal application manager.

It is possible to link a product to an hour category and in this way link a general ledger account number to an hour category. When the relevant hour type is used on a time line, it will be checked which general ledger number is linked to the linked product or product group.

It is possible to enter a purchase and a sales price here as a rule. This price will then be included in the time line unless a rate is linked to the project, in which case it will take precedence. If there is no project rate, the rate entered here will be used.

If you do not enter a rate in the line, Newbase will check whether there is a rate in the user card. In any case, Newbase does not look at the prices in the product card.

If you have linked a product to an hour type and you change the product price in the product card, you must, if desired, adjust it manually in the hour type line as described above.

7. Linking hour type to a customer project

If hour types have been created for projects, they will automatically be loaded onto a new customer project.

If you later adjust hour categories, you can refresh the adjusted or new hour categories per (current) project.

You obviously do not have to do this for closed projects or projects for which you will not use the new hour type.

​8. Linking a rate to an hourly category

It is possible to link a rate to an hourly category (purchasing and sales). If time is recorded with this hour type, the linked rate is automatically adopted.

You can enter a rate for an hourly category in the company module > widget 'Company hourly categories'
