Delete user or set to inactive?

We recommend not deleting a user unless they haven't created any documents in Newbase. Deleting a user also deletes their document history. You'll no longer be able to see that this user has created, modified, or otherwise created a document. We therefore recommend to set the user to inactive. This user will then no longer be able to log in to Newbase and will no longer appear in dropdown lists, but their history will be preserved.
Newbase subscriptions are based on the number of active / named users, so make sure you set users to inactive if they no longer work with Newbase to avoid additional subscription costs.

How to inactive a user:

  1. Open the Newbase Users module and find the user in question or select Show All to check all users
  2. Go to the 'User Check Marks' widget. If you don't have this widget, add it
  3. Check the 'inactive' box.

Want to quickly see which users are active? Then, in the Users module home screen, click on the standard search 'show all active users'
