Relocation, address or reachability changes in future

It is possible to enter relocation (address / reachability changes) to be activated on a future date.

The current data will be used till that date, and the new data will overwrite the current data at the relocation date entered.

Address and reachability relocation data can be entered for the modules Organisation, Contact, Person and HRM.

Contacts do not have addresses of their own, but inherit from person or organisation, so for a contact only future changes for reachability can be entered.

1. Enter a change of address or reachability in future

In this example we perform a relocation for an address, but for reachability it is similar.

  1. In edit or quick-edit mode click on the icon at the start of the line:
  2. De popup opens, next click tab 'Relocation' and enter new data.

Don't forget to enter the relocation date.

For the Netherlands to be able to use the automatic zipcode address retrieval function, first enter the country.

  1. Now click 'Save and Close' and you will see that an icon has appeared, indicating that relocation data has been entered.

Future changes can only be entered in existing addresses or reachability, not at entry-time of a contact or organisation. So if it is already known at the moment of data entry of a contact or organisation, that in future a change has to be processed, first the current data should be entered and saved. Then the data to be changed can be opened and relocation data can be entered.

2. Processed changes

When users login, a check is carried out on reachability or address changes that should be processed on, or before today.

If that is the case, the change will be processed.

The changed address will then be visible like this:

The green icon is only visible on the day the change has been processed.

3. Searching

There are a number of default searches available for modules that have the option to enter address or reachability changes in the future. The internal Newbase application manager can set these default searches for roles that would like to have these available, for example:

For addresses:

  • Automatic change of addresses in future
  • Automatic change of addresses in future with date picker
  • Automatic change of address processed with date picker
  • Automatic change of addresses processed today

The 'address' default searches are not available for module 'Contact'

For reachability there are similar default searches:

  • Automatic change of reachability in future
  • Automatic change of reachability in future with date picker
  • Automatic change of reachability processed with date picker
  • Automatic change of reachability processed today
